⚡️How to set up your Shopify PIM template in 5 minutes?

If you’re looking to build your own Product Information Management (PIM) system using SyncBase — you’re in the right place!

SyncBase lets you centralize, manage, and update your product data directly in Airtable while staying perfectly synced with Shopify.

Before you start: make sure the SyncBase App is installed on your Shopify store and connected to your Airtable account.


1 - Select the "Shopify PIM" option


Once connected to Airtable through the app, choose the Shopify PIM option by clicking the Create my Shopify PIM button.




2 - Duplicate the PIM template base


Next, duplicate our PIM template to your own Airtable workspace.


  1. Click Open template to duplicate.
  2. Once on the template page in Airtable, click Copy base.
  3. Choose the workspace where you want your new PIM to live. Make sure to select the same Workspace your entered during your Airtable connection.
  4. Click Add base, then open it.






3 - Enter your new PIM base ID


From the new Airtable base you duplicated, you can get the base ID.


  1. Now, connect your duplicated Airtable base to SyncBase.
  2. Open your new base in Airtable.
  3. Copy its Base ID (it looks like appM9983feVcw4ZFg).
  4. Paste this Base ID into the SyncBase app — make sure it’s from your duplicated base, not the original template.





4 - Launch your synchronization


Click Launch synchronization to get started.


SyncBase will automatically fill your Airtable base with all your Shopify product data and create a bi-directional sync between your store and your PIM.


You’ll receive a confirmation email from theau@syncbase.app once the sync is complete.



5 - Finish your set up

As every store has some unique elements (locations' names, store handle...), you need a few extra steps to link these uniques elements to the PIM template.



First, let's polish the connection between your Products and Variants data!


For existing records


  1. Open Omni assistant
  2. Copy this prompt In the Variants tab, for each record, copy Product ID field value to Product ID copy field.
  3. Wait until the finished to run. Once done, click on Update [number] records




For future records


  1. Open Omni assistant
  2. Copy this prompt Create a new automation named “Link Variants to Products”. The trigger is when the Product ID field is not empty in the Variants tab. The action is to update the same record’s Product ID copy field with the value from the Product ID field.
  3. Once created, turn on this new automation.




Shopify Admin Panel Button


Now, let's update the button that will let you go on your Shopify admin panel in just a click.


  1. Go to your Shopify Admin Panel. Go on a Product page and open your URL. It will looks like this https://admin.shopify.com/store/brebiatest/products/10257678500149
  2. Copy the value between store/ and /products. In this example brebiatest
  3. In Airtable, go on your Products table and edit the Shopify Admin Panel field.
  4. In the URL formulaparameter, locate syncbase-pimand replace it by your store handle. Then save it.




Inventory


Update Total Stock Available field


  1. Open Omni assistant
  2. Copy this prompt In the Variants table, edit the "Total Stock Available (Biarritz + NY + Sydney)". Replace the formula to create a new one that sums up every value from fields with name starting by "Stock available in" expect fields "Stock available in: Biarritz Shop", "Stock available in: Sydney Shop" and "Stock available in: New York Warehouse". Also change the field title for "Total Stock Available".


Customize Interfaces

Delete non-used fields


  1. Open Omni assistant
  2. Copy this prompt In the Variants table, delete these 3 fields "Stock available in: Biarritz Shop" + "Stock available in: New York Warehouse" + "Stock available in: Sydney Shop"
  3. Click on the Confirm button





6 Customize your PIM


To view your new PIM, go to Interfaces in Airtable’s top menu.


From there, you can tailor any interfaces to your needs.
