⚠️ What to do if you reached Airtable’s record limit
If you’re reading this, you’ve probably reached (or are about to reach) Airtable’s record limitation.
Don’t worry, this is a common situation, and there are several easy ways to fix it.
Understanding the Airtable record limit
Every Airtable plan includes a maximum number of records per base.
A record is basically a row inside your table.
If your Shopify store has a lot of data, you might hit this limit while syncing.
Example: a product with 3 variants will use 4 records in total:
- 1 in the
Productstable - 3 in the
Variantstable
Once you exceed your Airtable plan’s record limit, the base becomes read-only, and SyncBase can no longer update or sync data.
How to fix it
To keep syncing your Shopify data, you have three options:
- Increase your Airtable record allowance
- Sync less data from Shopify
- Sync your data to multiple bases
Let’s explore these solutions 👇
Upgrade your Airtable plan
The simplest and most direct solution is to upgrade your Airtable plan.
A higher plan gives you a larger record allowance and usually better performance overall.
You can check your current record usage directly inside your Airtable base (bottom left corner of your screen).
Sync less data from Shopify
If you prefer not to upgrade your plan, you can reduce how much data you sync.
Unsync an entire group of data
If you don’t need certain data (eg. Orders Metafields) simply exclude that entire tab from your synchronization settings.
Unsync specific data
You can also exclude individual items using the SyncIgnore tag.
For example, you can prevent draft products or archived collections from syncing.
Delete old or unused data (Orders and Customers only)
Some tables, like Orders or Customers, tend to grow quickly.
If you only need recent records, you can set up an Airtable automation to delete older ones.
Example: automatically remove orders created more than 30 days ago.
Delete records from the Sync Errors table
The Sync Errors table contains informational records about past synchronization issues.
Once you’ve verified that all errors have been fixed, you can safely delete these records to free up space in your Airtable base.
Sync to multiple Airtable bases (Enterprise feature)
If you’re using SyncBase on the Enterprise plan, you can distribute your data across multiple Airtable bases.
Each base has its own record limit, so splitting your data gives you a much higher total capacity.
